1. About SagePolicy
SagePolicy is a compliance management portal operated by Hearpreneur Solutions ABN 37 621 270 498. It is designed to help Australian Hearing Service Providers manage their HSP compliance policies, track staff acknowledgments, and maintain audit-ready documentation.
By accessing and using SagePolicy, you agree to be bound by these Terms of Use. If you do not agree to these Terms, please do not use the portal.
2. Access & Accounts
Access to SagePolicy is provided to practices engaged with Hearpreneur Solutions. Your access is managed by your practice administrator and you agree to:
- Keep your login credentials secure and confidential
- Not share your account with unauthorised persons
- Notify us if you suspect unauthorised access
- Use the portal only for its intended compliance management purposes
3. Compliance Information
Policy content accuracy: SagePolicy provides compliance policy templates based on the Australian Government Hearing Services Program requirements. While we endeavour to keep all content current and accurate:
- Policies are templates that must be reviewed and customised for your practice
- SagePolicy does not constitute legal or professional compliance advice
- Your practice remains responsible for ensuring its own compliance with all applicable laws, regulations, and HSP requirements
- Policy content is updated periodically — you will be notified when policies affecting your practice change
4. Staff Acknowledgments
When you acknowledge a policy in SagePolicy, you are confirming that you have read and understood that policy. Acknowledgment records include:
- Your name and the date/time of acknowledgment
- The specific policy version you acknowledged
- These records may be used by your practice for compliance audits and reporting
5. Data Storage & Privacy
Your data is handled with care:
- All data is stored in Australia on Supabase infrastructure in Sydney
- Data is encrypted in transit (TLS) and at rest (AES-256)
- Your practice's data is isolated and not shared with other practices
- Handled in accordance with Australian Privacy Principles
Practice owners can request export or deletion of their data by contacting us at support@sagepolicy.com.au.
6. Use of Artificial Intelligence
SagePolicy may use artificial intelligence (AI) tools to assist with content management, policy formatting, and portal features. By using SagePolicy, you acknowledge that:
- AI may be used to assist in drafting, formatting, or summarising policy content
- All AI-generated or AI-assisted content is reviewed by Hearpreneur Solutions before publication
- Your practice data is not used to train AI models — we have configured all AI providers to prevent this
- AI processing is subject to enterprise data processing agreements with each provider
- You remain responsible for reviewing all policy content for accuracy and suitability for your practice

7. Acceptable Use
You agree not to:
- Use the portal for any unlawful purpose
- Attempt to gain unauthorised access to other practices' data
- Upload malicious content or interfere with the portal's operation
- Share or redistribute policy content outside your practice without permission
8. Service Availability
We strive to keep SagePolicy available at all times but do not guarantee uninterrupted access. The portal may be temporarily unavailable for maintenance, updates, or circumstances beyond our control. We will endeavour to provide notice of planned downtime.
9. Intellectual Property
The SagePolicy portal, its design, and its features are the property of Hearpreneur Solutions. Policy content provided through SagePolicy is licensed for use within your practice only.
You may print, share, and use policy documents within your practice for compliance purposes. You may not redistribute policy templates commercially or share them with competing practices.
10. Limitation of Liability
To the maximum extent permitted by law, Hearpreneur Solutions shall not be liable for any indirect, incidental, or consequential damages arising from your use of SagePolicy. This includes, without limitation, any compliance failures resulting from reliance on policy templates without independent professional review.
11. Changes to Terms
We may update these Terms from time to time. If we make significant changes, we will notify you through the portal and request your acceptance of the updated Terms.
12. Governing Law
These Terms are governed by the laws of Australia. Any disputes shall be resolved through good-faith negotiation, and if necessary, the courts of Australia.
